Overview of the role:

At the heart of every high-performing leadership team is a cadence: the steady rhythm of meetings, priorities, and execution that keeps everyone aligned and moving forward. At Upshop, we know that cadence doesn’t happen by accident: it takes rigor, communication, and an operator who can translate complexity into clarity.

We’re hiring an Operations Manager to run the operating rhythm of Upshop’s leadership team. This role blends execution and communication: you’ll prepare agendas and pre-reads, distill complex conversations into clear follow-ups, and ensure leadership is working against shared priorities. You’ll also support major initiatives like offsites, vendor management, and communications campaigns that reinforce Upshop’s culture and employer brand.

This is a role for someone with strong business acumen and communication skills, who thrives at the intersection of structure and storytelling. You’ll be a power user of digital tools (AI, automation, and collaboration platforms) and play a key role in helping Upshop’s leadership operate with speed, transparency, and consistency.

Unlike a traditional admin role, this position offers a front-row seat to strategy and execution, with opportunities to grow into broader operations, communications, or strategy responsibilities over time.

Responsibilities:

  • Prepare clear agendas, pre-reads, and post-meeting summaries that capture decisions and actions.
  • Facilitate weekly leadership operating cadence sessions (i.e., business reviews, QBRs).
  • Support leadership communications, including internal updates and employer branding initiatives.
  • Identify and implement workflow improvements using AI tools, automation, and collaboration platforms.
  • Plan and execute logistics for leadership offsites and internal events.
  • Orchestrate scheduling for key leadership calendars, ensuring priorities are aligned, time is invested on the highest-impact work, and meetings run with purpose.
  • Coordinate vendor relationships and renewals for key systems and tools.
  • Serve as a culture carrier and communication hub, ensuring information flows clearly across teams.

Qualifications:

  • Bachelor’s degree in Business, Communications, or a related field.
  • Strong organizational and project management skills; thrives on structure, detail, and follow-through.
  • Excellent communicator with the ability to distill complex discussions into concise outputs.
  • Tech-savvy and eager adopter of new tools; comfortable leveraging AI and automation to improve productivity.
  • Experience supporting senior leaders in a fast-paced business environment (scheduling, operations, or program management).
  • Business acumen and judgment: able to connect daily cadence work to broader company goals.
  • Collaborative team player with a proactive, resourceful mindset and service orientation.
  • Desire to grow into expanded operations, communications, or strategy roles beyond traditional admin responsibilities.
