The Opportunity

We're seeking an exceptional Executive Assistant to serve as a trusted partner to our CEO and leadership team. This role is critical to maintaining operational excellence and ensuring our executives can focus on driving Tripleseat's growth and serving our customers. You'll be at the center of our operations, coordinating across teams, anticipating needs, and ensuring nothing falls through the cracks.

What You'll Own

• Provide high-level administrative support to 1–3 executives, managing calendars end-to-end including scheduling across time zones, resolving conflicts, protecting focus time, and ensuring agendas and materials are prepared in advance

• Drive meeting effectiveness by confirming objectives, required attendees, pre-reads, and decisions needed, while capturing and actioning follow-ups to ensure accountability

• Manage executive communications by triaging inbox and Slack messages, drafting responses, routing items to appropriate leaders, and ensuring timely follow-through on commitments

• Coordinate all aspects of domestic and international travel including flights, hotels, ground transportation, itineraries, contingency plans, and travel briefing packets with meeting context and key talking points

• Support board meetings, offsites, QBRs, leadership summits, and team events from planning through execution, including venue selection, vendor coordination, budget management, and run-of-show schedules

• Partner with Chief of Staff and cross-functional teams (Finance, People Ops, Legal, Sales Ops, Product Ops, IT) to execute executive priorities and maintain a predictable operating rhythm

• Handle highly confidential information with discretion, including people matters, compensation, performance discussions, customer/partner negotiations, and strategic initiatives

• Maintain and continuously improve administrative processes, systems, and documentation to increase efficiency and effectiveness across the executive function

• Leverage technology stack effectively (Google Workspace/Microsoft 365, Slack, Zoom, Salesforce, Concur/Expensify, Notion/Confluence, Asana/Jira) and identify opportunities for workflow automation and optimization

• Other related duties as assigned

  • Use AI tools (e.g., ChatGPT/Claude/Microsoft Copilot, Gemini, or approved internal AI assistants) to accelerate drafting, summarizing, and organizing executive communications, briefs, and meeting materials.

  • Produce high-quality meeting prep packets using AI-assisted research/synthesis (internal docs, past notes, customer context) while validating accuracy and sources.

  • Turn messy inputs into polished outputs: agendas, talking points, follow-up emails, status updates, and executive-ready summaries.

  • Create concise post-meeting recaps with decisions, owners, deadlines, and risks; maintain an AI-assisted action log to improve follow-through and visibility.

  • Build and maintain prompt templates and reusable workflows for common tasks (weekly updates, QBR prep, board prep, travel briefs, stakeholder comms).

  • Leverage AI to compare scheduling options, optimize travel itineraries, and propose efficient routes/meeting sequences across time zones.

  • Use AI to help identify themes and patterns across inbound requests (e.g., recurring issues, bottlenecks, stakeholder topics) and flag insights to the executive.

  • Support executive prioritization by summarizing key updates from multiple sources (Slack channels, project trackers, KPI dashboards) into a single, clear digest.

What You'll Bring

• 5+ years of experience providing executive-level administrative support, preferably in a fast-paced technology or SaaS environment

• Proven ability to manage complex calendars, resolve scheduling conflicts diplomatically, and balance competing priorities across multiple stakeholders

• Exceptional organizational skills with meticulous attention to detail and ability to manage multiple projects simultaneously without dropping the ball

• Strong written and verbal communication skills, with ability to represent executives professionally to internal and external stakeholders including board members, investors, and customers

• Experience coordinating travel, events, and offsites with strong vendor management and budget oversight capabilities

• Track record of building collaborative relationships across all levels of an organization and working effectively with cross-functional teams

• Proactive, self-motivated approach with ability to anticipate needs, identify problems before they arise, and take initiative to implement solutions

• Discretion and sound judgment when handling confidential information and sensitive situations

• Commitment to delivering high-quality work with a mindset of continuous improvement and raising standards

• Proficiency with modern workplace tools and demonstrated ability to quickly learn new systems and platforms

• Resourcefulness and adaptability when priorities shift, with focus on getting results and following through on commitments

• Professional presence with low ego, willingness to share credit with others, and ownership of mistakes

• Genuine care for supporting others' success and creating positive experiences for colleagues and external contacts

Location & Work Setting

This position has a hybrid work schedule based out of our Concord, MA office. This position is open to candidates eligible to work in the United States. Additional travel may be required for meetings, company events, and training.

Salary Range:$110,000.00 – $130,000.00 annually

Compensation is based on a variety of factors, including relevant experience, skill set, geographic location, and alignment with our internal compensation framework. This role is also eligible for additional benefits and incentives.
