Eftsure, is a fast-scaling SaaS (Software-as-a-Service) Fraud Technology platform that protects the B2B payments of Australian businesses by providing real-time vendor (supplier) verification and real-time payment protection. In a world of explosive and evolving cybercrime and payment fraud we ensure our customers never pay the wrong people!

Our vision is to be the Security Standard for B2B payments with continual platform evolution and international expansion. Our mission is to support the Australian business community to transact securely. We are looking for an Office Manager to join our growing team. This role is a 12 month fixed term contract and will report to our VP, People and Culture.

The role you play:

This role is an integral member of our Eftsure community! You will be responsible for the daily office operations to ensure that our office continues to be a great place to work!

You will also work closely with the People & Culture team, providing administrative support to ensure a seamless and efficient onboarding experience for new starters. From preparing documentation and coordinating logistics to helping create a positive first impression, you’ll contribute to setting our people up for success from day one.

As a valued member of the Eftsure team you will be responsible for:

  • Manage the day-to-day operations of the office, ensuring a smooth, organised, and welcoming environment for all employees and visitors

  • Coordinate office facilities, including maintenance, supplies, equipment, and vendor relationships

  • Act as the first point of contact for office-related queries and support the wider team with ad hoc administrative tasks

  • Provide administrative support to the People & Culture (P&C) team across the employee lifecycle

  • Assist with onboarding and offboarding processes, including preparing documentation, coordinating inductions, and ensuring a positive employee experience

  • Conduct reference checks for candidates and support pre-employment processes

  • Support HRIS administration, including data entry, reporting, and system updates

  • Coordinate internal events, team activities, and office initiatives to support a positive and engaging workplace culture

  • Manage office communications, including announcements and updates

  • Assist with compliance-related administration, including documentation, policies, and record-keeping

  • Liaise with external vendors, suppliers, and service providers as required

  • Contribute to continuous improvement of office and administrative processes

What you need to be successful:

  • You are a positive and energetic self-starter with a passion for fostering a positive working environment. With previous experience in a similar role, you have a demonstrated commitment to delivering a high standard of office administration and customer service.

  • Excellent communication skills both written and verbal.

  • Strong organisational skills with proven ability to be proactive, multi-task and effectively prioritise.

  • High attention to detail and process driven.

  • Integrity and confidentiality in management of company information

  • Ability to work autonomously and within a team

  • Proficient in MS Office Suite

  • A flexible mindset – happy to see a job or opportunity and just do it!

  • Please note - as you are the heartbeat of the office, you will be required to work in the office 5 days a week.
