We're looking for a dynamic Office and Events Coordinator to run our Halifax headquarters and internal events. Reporting to the Senior Manager of People Operations, you'll take on a cross-functional role that combines administrative, office management, and event planning responsibilities. This role is key to fostering a dynamic, efficient, engaging workplace.

In this position, you'll manage day-to-day office operations and team events, while also taking on a range of tasks that keep our workplace running smoothly and our team thriving. Your contributions will be vital to shaping a positive, efficient work environment.

What you'll do

Responsibilities

As Dash Social's Office and Events Coordinator, you'll be at the heart of our operations, seamlessly managing the office operations, planning internal events, and tackling a diverse array of administrative tasks with confidence. No two days are the same in this role, and you'll be responsible for managing your time to ensure all areas are functioning successfully.

Office Operations

  • Manage the day-to-day office operations, ensuring everything runs smoothly and supporting teams with on-site needs. This includes:
    • Manage inventory for office supplies, swag, and snacks.
    • Ensure the office remains tidy and organized with the support of an intern and a cleaning company.
  • Coordinate and communicate with external vendors to keep office operations efficient and well-supported.
  • Act as primary liaison for IT coordination related to office infrastructure, employee onboarding, and in-office tech needs.
  • Partner cross-functionally to support departmental needs and ensure an optimal working environment for all teams. This includes, but is not limited to, running the Occupational Health and Safety committee.
  • Represent Dash Social to guests and new hires with welcoming office tours and first impressions.

Internal Events

  • Plan, coordinate, and execute internal team events, including logistics, budgets, and stakeholder management.
  • Support departmental event planning for leaders as needed.
  • Lead in-office coordination of monthly lunch and learns and other recurring in-office initiatives to support learning and team-building.
  • Work collaboratively with Marketing to provide support, as needed.

People Operations and Team Support

  • Act as a liaison between DEI Champions and People Operations on DEI strategic actions.
  • Provide hiring support, guidance, training, and mentorship to the Office and Events Intern.
  • Coordinate full-cycle intern hiring for Dash Social's internship programs.
  • Manage company partnerships, expense processing, budget tracking, and other administrative processes as necessary.
  • Additional support as required.

Qualifications

Desired Skills and Experience

  • A minimum of 1 year of experience in a similar role.
  • Excellent problem-solving skills with the ability to think creatively and find solutions.
  • Attention to detail with effective time management.
  • Strong organizational skills and a knack for managing projects effectively (familiarity with Asana is a plus).
  • Comfortable working independently while collaborating across diverse teams.
  • A proactive, positive, and solutions-oriented mindset.
